Three Important Notices for QuickBooks Users

Confirm to Continue using Automated Payroll Taxes by December 31, 2024

Beginning January 1, 2025, automated payroll tax withdrawals will be changing. Instead of withdrawing payroll taxes when due, QuickBooks will withdraw them every time payroll is processed and when there is an increase in taxes owed.
Here are your options:

1. Confirm to continue using automated taxes by December 31, 2024. A primary or company admin, including accountants with these roles, must sign in and confirm you want to continue using automated tax payments and filings. They can do so by going to Payroll Overview and selecting Keep using automated taxes. If QuickBooks doesn’t hear back from an admin by December 31, automated taxes will be turned off starting January 1, 2025.

2. Stop using automated taxes by going to Payroll Settings and find Taxes and Forms. There you can turn off Automate taxes and forms. If you turn them off, you’ll need to manually pay and file your payroll taxes by the deadlines. You can keep using Auto Payroll since it doesn’t require automated taxes.

Choose How to Print W-2 Year-End Forms by January 3, 2025

Starting in January 2025 for tax year 2024, QuickBooks Online will no longer be printing and mailing W-2 tax forms to your employees as part of your QuickBooks Online Payroll subscription.

Year-end W-2 tax forms will now cost $4 per employee to print and mail. QuickBooks Online will continue to send an electronic copy to your employees and e-file with the IRS on your behalf, as part of your subscription.

To avoid paying the printing and mailing fees, you must change your W-2 settings on or before January 3, 2025. To change the settings, go to Form W-2 printing in Payroll Settings of your QuickBooks Online Payroll account, and choose “I’ll print and mail W-2s to my employees”. If you change these settings, you will need to download, print, and mail W-2s yourself, or ask your employees to consent to paperless W-2s in QuickBooks Workforce.

If you do nothing, QuickBooks will continue to print and mail W-2s to your employees by default, at the new price of $4 per employee.

Important Changes to Year-End Forms 1099

Starting in January 2025 for tax year 2024, QuickBooks will no longer be printing and mailing 1099 tax forms as part of your subscription to QuickBooks Online Payroll or QuickBooks Contractor Payments.

Year-end 1099 tax forms will now incur a per form charge to print and mail to vendors and contractors. QuickBooks will continue to send an electronic copy to recipients and e-file to the IRS. This year, e-filing with eligible states will also be included with your subscription.
